We are seeking a Medical Staff Coordinator who will be responsible for the administrative support to Medical/Professional Staff functions and as a key resource for the medical staff leadership. The coordinator may be required to assist with elements of the credentialing process, initial and reappointment, expirables and proctoring as assigned. Expectation includes the assistance of Committee Chairs/Chiefs with oversight of department/committee meeting management (provide support duties for designated hospital based committees, including but not limited to, agenda preparation and distribution, meeting documentation preparation, and transcription of minutes, requisite follow-up and within prescribed deadlines) as assigned. This is to ensure flow of information through established medical staff and ministry reporting and approval process. The Coordinator is expected to work in the development or enhancements of privilege delineation, including establishing criteria for said criteria with competencies. As needed, the coordinator will work with team and internal resources to support the key processes of Ongoing Practitioner Performance Evaluation (OPPE), and Focused Practitioner Performance Evaluation (FPPE). The Coordinator's scope does include the coordination, development and/or revision of departmental Rules & Regulations to ensure compliance with current practice, accreditation standards, State/Federal regulations as well as system wide regulatory requirements.
In this position you will:
Demonstrate excellent written and verbal communication skills in interaction with colleagues, physicians and caregivers.
Is proactive and timely with assignments, including all aspects of credentialing, preparation, participation and follow-ups of the medical staff meetings. Timely follow-up is expected.
Maintain adherence to professional, confidentiality standards established within the Department and in accordance with legal, ethical, and ministry policies.
Assure the integrity of the credentialing program with all medical staff documentation and maintains a state of readiness at all times for licensing, regulatory and accrediting agencies.
Garner expertise or fluency in various applications and databases required for our work, including, but not limited to Microsoft Office (such as Word, Excel, PowerPoint), credentialing database (example of ECHO, Cactus, MDStaff, Medversant), informatics systems (e.g. Premier, Crimson, Vantage Analytics).
Work effectively with co-workers/caregivers and strive for a high degree of accuracy to support the integrity of the work product and reliability of the database(s).
Work collaboratively in the team along with autonomy and minimal supervision. In the balance, the expectation is that job assignments are completed timely and deadlines are met or exceeded.
The Coordinator will be encouraged to take initiative of continual learning in our evolving profession which may include, but not limited to use of Healthstream class offerings, California Association of Medical Staff Services (CAMSS) and National Association of Medical Staff Services (NAMSS), Healthcare Quality Improvement, Hospital Risk Management, related Law Conference or College/University classes.
Competency Charting/Performance Improvement:
Maintain expertise in Medical Staff Bylaws, Rules and Regulations, Policies and Procedures along with working knowledge of the development/delineation of privileges process/medical staff competencies, and understand California state reporting along with National Practitioner Data Bank requirement.
Interface effectively with the quality, performance, risk management, regulatory and other departments to facilitate integration of safety, quality of care and risk management findings into the OPPE, FPPE, proctoring and reappointment processes with the intent to exceed or maintain acceptable outcomes. Activates and monitors proctoring process to include timely data collection, analysis, and reporting to assure compliance with rules and regulations. Expect periodic data analysis of work product/flow to assure compliance and regulatory requirements.
Be mindful of productive hours and limit use of overtime (with approval only) along with careful use of resources and supplies. When possible, be able to propose change in work flow/processes to eliminate redundancy and waste in work process and supplies. Become fluent in departmental budget process, objectives and goals.
Required qualifications for this position include:
Current (active) National Association of Medical Staff Services (NAMSS) recognized Certified Professional Credentials Specialist (CPCS), or
Certified Professional Medical Services Management (CPMSM)
Required or must attain within five (5) years of employment date.
Experience in coordinating meetings, and events.
Strong verbal and written communication skills.
Demonstrates the ability to work in a fast-paced environment while handling multiple tasks and deadlines.
Must be familiar with and willing to expand knowledge of medical/legal issues, State/Federal Regulatory Requirements and Accreditation Standards.
Ability to work in a team setting and with physicians/allied health professional.
Excellent telephone etiquette, ability to compose professional letters, maintain documentation and minute taking capabilities ability.
Independent problem solver, be familiar with medical terminology and possess excellent customer service and communication skills.
Must have extensive Microsoft Office Suite skills, e.g., Microsoft Word, Excel and PowerPoint and credentialing database knowledge (e.g., Echo, MDStaff, Cactus or Medversant) and be attentive to detail with a high degree of accuracy.
Preferred qualifications for this position include:
Some college or Bachelor's Degree.
Three (3) years recent experience as a Medical Staff Coordinator or similar experience.
