Providence is calling a Appeal Shipping Clerk (Full time/Day Shift) to Providence California Regional Services in Torrance, CA.

We are seeking a Appeal Shipping Clerk who will provide administrative support to a department and/or Supervisor as necessary for the effective management of the Care Management Department Recovery Advocacy Program offices and operations. Position is located in a department where program variety requires an Integrated service delivery structure that, while defined, requires flexible procedures for the internal and external coordination of services.
Duties include general clerical based work. Project a professional company image through in-person and phone interaction.
In this position you will:
Responsible for daily appeal package preparation, which include reviewing all necessary documents, printing and shipping, downloading onto a CD or uploading to a web portal. Occasional deliveries made to the post office or mail service business.
Document in Epic Notes every handled appeal.
Maintain daily communication with clinical staff, Administrative Staff and Manager
Responsible for ordering all shipping supplies and printer toner.
Manage maintenance of all mail equipment and assures postage meter is replenished routinely to avoid interruption in mail services.
Prepare necessary paperwork and reports requested by supervisor or necessitated by business partners.
In concert with manager, facilitates the monthly payment to post office and other business partners for services utilized.
Process outgoing mail by sealing, sorting, weighing, and applying proper postal rate and classification to letters and parcel. Bundles outgoing mail according to USPS/workshare partner specifications, Fedex.
Maintain logs of incoming/outgoing certified and priority mail according to established procedure as well as re-address or forward to former patients.
At the request and direction of either the Manager or Director performs assigned/special projects.
Apply knowledge, and where necessary obtains appropriate assistance to efficiently complete project in a timely manner.
Provide supervisor an ongoing assessment of progress and communicates when project has been completed.
Continual Learning: Maintain knowledge of current trends and developments in the field by reading appropriate journals, books, and other literature and attending in-services, classes, etc. as made available by management and the USPS/workshare partners to assure appropriate postage and compliance.
H.S. Diploma or GED
Valid California State driver’s license
1 year Mail-processing experience.
1 year Epic data entry
1 year Basic Computer knowledge
1 year Microsoft Office: Word and Excel
Verbal and written communication skills adequate for regular effective contact with fellow staff members, hospital staff and others. Ability to obtain and exchange information in order to promote effective levels of service
Careful attention to detail is a must
Ability to utilize proper English grammar and spelling when documenting in Epic
Ability to operate business office equipment, i.e. computer, printer, etc.
Knowledge of postal rates, policy & procedure
Ability to operate postage equipment
Ability to apply attention to detail when sorting or distributing mail
Organizational skills adequate to facilitate problem solving
Able to evaluate requests for services, set appropriate priorities, and communicate priorities to manager, peers and customers tactfully but effectively in order to maintain positive working relationships and confidence from customer areas
Interpersonal skills to effectively perform as a member of a team
Able to drive personal vehicle for occasional drops at the USPS or Fedex offices
Proficient in required competencies upon completion of orientation as listed on the unit specific Competency Inventory
