Providence Health & Services Administrative Assistant in Torrance, California
Providence is calling a Administrative Assistant, (Full Time/Day Shift) to Providence Little Company Of Mary Torrance Hospital in Torrance, CA.
We are seeking a Administrative Assistant who will assists the Director of Consolidated Laboratory and, as requested, the laboratory management team, and provides administrative support for the Consolidated Laboratory Department. The Administrative Assistant initiates actions on their behalf with appropriate coordination and direction. Work requires independent judgment and effective communication skills.
In this position you will have the following responsibilities:
Act as a receptionist for all guests for the administration
Schedule and confirms all meetings in Administration
Assemble packet information for meetings
Obtain appropriate information when scheduling meetings for Administration
Main point of contact for scheduling conference rooms and assisting with setup
Comply with hospital, department and unit standards including, but not limited to, safety, infection control, quality management, environmental, confidentiality, and patient care
Support and carry out the Core Values on a daily basis, by practicing the Service Excellence Standards
Work closely and cooperatively with the Director of Consolidated Laboratory and the management team to support quality improvement activities, preserving the confidential nature of certain tasks and knowledge
Perform data entry for current QM surveys in an error free manner (99%)
Responsible for assembly of material and data for quality improvement and compliance tool kits, in a timely manner
Handle word processing of documents, forms, reports, and all projects in a timely manner as directed
Maintain Consolidated Laboratory manuals including but not limited to: Administrative Policy and Procedure Manual, Performance Improvement Manual and other laboratory manuals, as assigned
Participate in orientation, education and development of team members as directed by supervisor
Participate in appropriate continuing education as may be requested and/or required by immediate supervisor
Accept personal responsibility for other educational activities to enhance job-related skills and abilities
Establish and maintain positive working relationships with employees and other customers
Participate in the Performance Improvement Program and participates in and adheres to the LCMHS Corporate Integrity Plan
Follow Core Value for being financially prudent
Perform other duties as requested by the Director of Consolidated Laboratory
Required qualifications for this position include:
H.S. Diploma or GED
Ability to deal effectively with many people across a broad range of cultural backgrounds and ages
Ability to work independently with little or no supervision.
Proficient in P.C. software applications including, Microsoft Word, Excel, PowerPoint, Outlook, etc.
Ability to prioritize, organize and coordinate work
Ability to work effectively with many people at various levels of the organization
Excellent oral and written communication skills
Ability to handle multiple tasks and appropriately prioritize
Ability to clearly communicate with internal and external customers, including, but not limited to, patients, co-workers, management, physicians, and visitors
Ability to maintain patient confidentiality and privacy in accordance to hospital policy
Knowledge of established professional scheduling concepts, principles, and practices
Demonstrates knowledge of business machines and medical terminology
Preferred qualifications for this position include:
- Minimum of two (2) years directly related experience
